In this article we run the numbers using public pricing, point out where each bill spikes, and tell you honestly when HubSpot is the right choice.

How much HubSpot really costs
HubSpot is free in its basic version, but almost no SME that uses it seriously stays there. What you typically need (pipelines, sequences, workflows, and reporting) is in the Professional plans:
| HubSpot product | Indicative price | What it includes |
|---|---|---|
| Sales Hub Professional | ~€90/seat/month (annual) or ~€100 (monthly) | Sequences, forecasting, sales workflows |
| Marketing Hub Professional | ~€800–890/month | 3 seats and around 2,000 marketing contacts |
| Mandatory Sales Pro onboarding | ~€1,500 (one-time) | HubSpot-guided onboarding |
| Mandatory Marketing Pro onboarding | ~€3,000 (one-time) | HubSpot-guided onboarding |
Since 2024 HubSpot charges per seat. Sales Hub is paid only per assigned seat, while Marketing Hub Professional has a base fee that includes a number of seats and contacts.
Where HubSpot’s bill spikes
The three things that most surprise the SMEs that come to us:
- Marketing contacts. Marketing Hub Professional includes a limited volume of contacts. As the database grows, each additional tier is billed separately. An SME with 10,000–15,000 active contacts can see this line item weigh as much as the base fee.
- The jump from Starter to Professional. Starter is cheap, but the automations that actually save time are in Professional. The jump isn’t linear: you go from a few euros per seat to a base fee of hundreds of euros per month plus onboarding.
- What HubSpot doesn’t do. HubSpot isn’t an ERP. Invoicing, inventory, purchasing, or accounting live in another system (a3ERP, Holded, Sage, Odoo…). Connecting everything usually requires paid integrations or development, and that cost rarely shows up in the initial comparison.
What Odoo covers—and what it doesn’t
Odoo is a modular, open-source ERP that includes CRM, sales, invoicing, inventory, accounting, email marketing, website, and ecommerce in a single database. That’s its big advantage over HubSpot: sales can see orders, outstanding invoices, and stock on the customer record without switching tools.
In the online version, Odoo charges per user and includes all apps. There are two paid plans:
- Standard: all apps hosted on Odoo Online. Doesn’t include an external API, Studio, or multi-company.
- Custom: adds Odoo Studio, multi-company, an external API, and deployment on Odoo.sh or your own server.
This detail is key and almost nobody explains it: if you want to automate Odoo with n8n, you need the Custom plan, because n8n connects via the API. In Spain, the Custom plan price per user is roughly €22–45/month depending on the current rate, first-year promotion, and billing type. Check the official website on the day you’re ready to buy.
What Odoo doesn’t give you out of the box:
- A marketing automation layer as polished and “no-code” as HubSpot’s.
- An ecosystem of marketing templates, courses, and partners as broad.
- An easy implementation: Odoo’s real cost is in the implementation, which you contract through a partner.
n8n as the automation layer
n8n is a workflow automation platform (similar to Make or Zapier) that you can host on your own server. In an Odoo + n8n architecture, Odoo is the source of truth for customers, sales, and invoicing, and n8n orchestrates everything around it:
- Web forms and WhatsApp → lead in Odoo CRM, assigned to the right rep.
- Lead with no response in 48 hours → email sequence and alert to the rep.
- Overdue invoice → automatic reminder and CRM task.
- AI agents that qualify leads, summarize conversations, or draft proposals.
n8n options (list prices in euros):
| Plan | Indicative price | Who it’s for |
|---|---|---|
| Community Edition (self-hosted) | Free + server (~€10–30/month) | Companies with in-house or agency technical support |
| Cloud Starter | ~€20/month (annual), 2,500 executions | A few low-volume automations |
| Cloud Pro | ~€50/month (annual), 10,000 executions | Mid-volume without managing a server |
Watch the execution limit on Cloud: a single workflow that triggers every few minutes can burn through the Starter plan in days.
3-year cost table: HubSpot Professional vs Odoo + n8n
Example scenario: Spanish SME with 10 users (7 sales reps and 3 marketing), around 2,000 marketing contacts, and a need for CRM, email marketing, and automation. List prices, annual billing, excl. VAT.
| Item | HubSpot (Sales Pro + Marketing Pro) | Odoo Custom + n8n self-hosted |
|---|---|---|
| Year 1 licenses | ~€17,200 (7 Sales Pro seats + Marketing Pro) | ~€4,800 (10 users × ~€40/month) |
| Onboarding / implementation | ~€4,500 mandatory onboarding + partner if you need it | Partner implementation: highly variable, typically thousands of euros depending on scope |
| Automation | Included in Professional plans | n8n: ~€360–1,080 over 3 years for server + workflow setup |
| ERP (invoicing, inventory) | Not included: you need to add it or integrate it | Included |
| Licenses + onboarding over 3 years | ~€56,000 | ~€15,000–16,000 + implementation |
How to read this table: the license gap is huge, but Odoo implementation can narrow it significantly. The solid takeaway isn’t “Odoo is always cheaper,” but this: with HubSpot you mostly pay recurring licensing; with Odoo + n8n you mostly pay upfront implementation. From year two onward, the cost advantage usually tilts toward Odoo + n8n.
When HubSpot IS the right choice
Not every SME should leave HubSpot. It makes sense to stay—or choose it—if:
- Your growth engine is inbound marketing and your team lives in the blog, landing pages, and email nurturing.
- You don’t need an ERP or you already have a stable one you don’t want to touch.
- You don’t have technical capacity (in-house or via an agency) to maintain integrations and workflows.
- You value speed to go-live over the 3-year cost.
- You’ve already invested years in HubSpot and migration would cost more than the savings.
By contrast, Odoo + n8n is a better fit when the company sells physical product, needs sales, invoicing, and inventory to talk to each other, has a large contact base, or wants costs that don’t grow with every seat or contact tier.
How to migrate from HubSpot to Odoo without losing data
If you decide to switch, order matters:
- Inventory what you actually use: pipelines, custom properties, active workflows, templates, and lists. Typically, only a small part of what you pay for gets used.
- Export and clean the data: contacts, companies, deals, and activities. This is the moment to remove duplicates and inactive contacts.
- Design the model in Odoo before importing: pipeline stages, sales teams, and fields.
- Rebuild only the workflows that add value, some in Odoo and others in n8n.
- Run both systems in parallel for 2–4 weeks before cancelling HubSpot, to validate nothing is lost.
- Check your renewal date: many HubSpot contracts are annual. Plan the migration to finish before it renews.
Frequently Asked Questions
It depends on what you need. If you only want a simple sales CRM, Pipedrive or Zoho are common options. If you need CRM plus invoicing, inventory, and automation in a single system, Odoo with n8n is a more complete alternative and is often more cost-effective in the medium term.
Odoo includes email marketing, basic marketing automation, and CRM. It’s not as complete or as easy as Marketing Hub Professional, which is why it’s paired with n8n for more advanced workflows.
Not directly: the external API is included in the Custom plan, not Standard. If you’re going to automate with n8n, budget for the Custom plan.
It can be, if the server is properly configured, kept up to date, and hosted in the EU, with backups and controlled access. If you don’t have someone to maintain it, n8n Cloud (hosted in Frankfurt) or an agency-managed setup are safer options.
For an SME with 5 to 20 users, it’s typically planned in weeks, not days, including design, data migration, and a period running both systems in parallel. The timeline depends mainly on the number of workflows and integrations.
